Plans change — we get it. This policy explains what happens when a guest cancels, a host cancels, or a booking request is declined, for both free and paid events on GuestList.
The specific cancellation window for each paid event is shown on the event page and again at checkout. That window is part of your booking agreement with the host.
1. Overview
- Free events: cancel anytime before the start; no payment is involved.
- Paid events: refund eligibility depends on when you cancel relative to the event start and the host's stated policy.
- All refunds for online payments are processed back to the original payment method via Payment Gateway.
2. Guest cancellations
Open My Bookings and choose Cancel. Your spot is released for others on the waitlist or guest list.
- Before the cancellation deadline — full refund of the ticket amount (excluding non-refundable platform fees where disclosed).
- After the cancellation deadline — no refund unless the host agrees or local law requires otherwise.
- No-shows — treated as late cancellation; no refund.
3. Host cancellations
If a host cancels a confirmed event, paid guests receive a full refund of the ticket price automatically. We notify affected guests by SMS and email as soon as the cancellation is recorded.
4. Declined booking requests
For events that require host approval, you are not charged until the host accepts. If the host declines or the request expires, no payment is taken. If payment was authorised in error, we release or refund it immediately.
5. Refund timelines
Once a refund is initiated on GuestList, Razorpay typically credits the original payment method within 5–7 business days. UPI and card timelines may vary slightly by bank. You will receive an email when the refund is processed.
Partial refunds (for example when only part of a group booking is cancelled) are calculated pro-rata based on headcount and any add-ons.
6. Disputes
If you believe a refund was processed incorrectly, email support@guestlist.one with your booking ID within 14 days of the event date. We will review with the host and Razorpay transaction records.
